The Rondout Valley Central School District is seeking a highly organized, detail-oriented Senior Account Clerk/Typist to serve as the Administrative Assistant to the Assistant Superintendent of Student Support Services. This position provides high-level clerical, fiscal, and operational support to the Department of Student Support Services and plays a critical role in maintaining compliance with state and federal requirements related to special education programs and student services.

The successful candidate will demonstrate strong organizational and communication skills, the ability to manage multiple priorities, and the capacity to maintain strict confidentiality while supporting complex administrative and financial processes within the department.

This position falls under the Ulster County Civil Service Title, Senior Account Clerk/Typist, and is designated as a NY HELPS position. Under this program, qualified candidates may be appointed without participation in a competitive civil service examination, provided minimum qualifications are met. All Civil Service laws, rules and regulations apply. 

Minimum Qualifications:

A. Successful completion of one year of study at a regionally accredited or New York State registered college, university or business school which included or was supplemented by at least one course in accounting or a related field and one year of full-time paid experience, or it’s part-time equivalent, in the compilation and maintenance of financial accounts and records; OR
B. Graduation from high school or possession of a high school equivalency diploma and two (2) years of full-time paid experience, or it’s part-time equivalent, as described in A above; OR
C. Three (3) years of full-time paid experience, or its part-time equivalent, as described in A above; OR
D. An equivalent combination of training and experience as indicated in A, B and C above.

Primary responsibilities include but are not limited to:

  • Provide direct administrative support to the Assistant Superintendent of Student Support Services.
  • Coordinate and maintain confidential records and documentation related to student support programs in compliance with state and federal regulations.
  • Assist in the management and processing of contracts for various vendors and specialized services, including tracking approvals, renewals, and required documentation.
  • Support the administration and documentation of Medicaid reimbursement processes, including record management and coordination with district and external partners.
  • Assist with STAC (System to Track and Account for Children) documentation and processing to ensure accurate reporting and reimbursement for eligible placements and services.
  • Provide clerical and fiscal support for federal and state grants, including documentation, tracking expenditures, and assisting with required reporting.
  • Assist with administrative coordination of the district’s Universal Prekindergarten (UPK) program, including record management, documentation, and communication with program providers.
  • Prepare and maintain financial records, purchase orders, invoices, and other budget-related documentation for the department.
  • Support data entry, report preparation, and record management related to departmental operations and state reporting requirements.
  • Coordinate meetings, calendars, and documentation related to Student Support Services initiatives and compliance requirements.
  • Communicate effectively with district staff, families, service providers, and outside agencies regarding scheduling, documentation, and program coordination.
  • Maintain organized filing systems, databases, and records in accordance with district procedures and regulatory requirements.
  • Perform general clerical duties including typing, correspondence preparation, and document management.

Salary: $39,282 — $41,192 (25/26)
 
Work Schedule: Full-time, 12 months, Monday-Friday, 7am-3pm or 7:30am-3:30pm or 8am-4pm during the school year.  Summer hours are Monday–Thursday, flexible full-time+ shift and Fridays off.  
 
Additional Duties: Performs other related tasks as assigned by the direct report and/or Superintendent.
